The Busy Signal That’s Costing You Sales

A real example from right here in our region — and a fix that takes an afternoon, not a renovation.

I just wanted to order a cake

Last week, I tried to place an order with a local bakery. It should have been a simple five-minute call: choose a size, choose a flavour and book a pickup time.

Except I couldn’t get through. Busy signal.

I tried again twenty minutes later. Busy signal again.

By the third attempt, I wasn’t thinking, “They must be flat out — good for them.” I was thinking, “I’ll just order somewhere else.”

That is the moment that should worry every small business owner: the point where a customer stops trying and quietly calls a competitor.

What a busy signal actually tells you

A constant engaged tone usually means there is a single cordless handset on-site, tied to a single line. When that phone is in use — whether someone is taking an order, checking stock or speaking with a supplier — every other caller is locked out.

There is no queue, no second phone for another staff member to answer and no voicemail fallback. Just a flat busy tone that makes a customer feel like they are bothering you before anyone has even answered.

For a bakery, that may be a lost cake order. For a tradie, it could be a lost quote request. For a clinic, it may be a patient calling the next provider on the list.

Multiply that by every busy signal, every missed call and every week, and it adds up to real lost revenue. The frustrating part is that the business often never knows it happened. There is no notification saying, “A customer tried to call, gave up and went elsewhere.”

Why this still happens in 2026

Most businesses in this situation have not done anything wrong. They started with a single cordless phone because that was what came with the shop, and they never had a reason to revisit it.

It works fine until the day it does not: the lunchtime rush, the second staff member who cannot help answer, the supplier call that blocks the line, or the customer who simply does not call back.

The honest truth is that there is no longer a good reason to leave it that way. The fix is not a major infrastructure project. It does not require ripping out the shop, changing your phone number or shutting down for days.

The fix: a proper multi-handset system

This is a textbook case for a modern IP phone system, such as a Yealink handset setup, instead of one cordless phone tethered to one line.

With multiple IP handsets operating on the same business number:

  • A second or third handset can ring and answer while the first person is already on a call. Customers no longer hit a busy signal simply because one staff member is speaking.
  • You choose the call flow. Ring all phones together, ring them in sequence, send overflow to another staff member, or route unanswered calls to voicemail for a callback.
  • Staff are not tied to one spot. Place a handset at the counter, another out the back and another in the office — all reachable through the same business number.
  • The system grows with the business. Start with two handsets and add more later without changing your number or rebuilding the setup.

None of this requires multiple traditional phone lines, a large upfront infrastructure spend or extended downtime. For many small businesses, it can be planned, programmed and installed in a single afternoon.

The takeaway

If your business still relies on a single cordless handset, ask yourself one uncomfortable question: how many customers have heard a busy signal, shrugged and called your competitor instead?

You will probably never see that number — and that is exactly why it is worth fixing before it costs you again.

WTCO helps small and medium businesses across South West Victoria move from single-line phone setups to reliable multi-handset systems designed around the way their staff actually work.
